Product basis
Garment type, fabric, lining, size ratio, colorways and quantity. Ask whether minimums apply per style, color, size or total order.
Pre-production decision support
A useful sample plan defines what the sample represents, which measurements and construction points will be checked, who approves it and which issues remain open. It does not treat a related style or showroom piece as production approval.

Total-cost map
A sample charge or unit price is only one part of procurement scope. Record what is stated, what is estimated and what is excluded without inventing prices.
Garment type, fabric, lining, size ratio, colorways and quantity. Ask whether minimums apply per style, color, size or total order.
Pattern, artwork, print setup, label or trim development, sample rounds and courier. Identify whether later revisions add charges or time.
Individual pack, labels, inserts, assortment packs, carton count, gross weight and dimensions. Values should match the proposed configuration.
Currency, trade term, origin point, destination, freight inclusions, duties and buyer-side handling. Compare only the scope actually stated.
Illustrative cost categories are not current quotations. Supplier prices, minimums, charges and timelines require confirmation.
Decision evidence
| Question | Evidence to request | Limit to record |
|---|---|---|
| Does the fabric match the brief? | Composition declaration, construction and measured or stated gsm for the proposed material | Values may vary by test method and tolerance; confirm the agreed basis. |
| Does the style fit the intended user? | Measurement chart, graded sizes, sample measurements and fit-review notes | One wearer or one size does not validate the complete size run. |
| Is decoration controlled? | Artwork revision, color reference, placement dimensions and approval proof | Screen appearance alone does not establish production color. |
| Are labeling questions addressed? | Exact proposed label copy and item-linked supporting information where applicable | Guidance is a scoping source, not proof that the item complies. |
| Is packing ready for quotation comparison? | Unit pack, assortment ratio, carton count, dimensions and stated freight scope | Carton figures for another style are not equivalent evidence. |
State acceptance criteria before the sample arrives. Record pass, revision or rejection against the style, size and artwork version. Keep unresolved tolerances and document questions open for the supplier response.
